Account settings

Set the team name clients see, URL slug, country, and language. On the Security tab, every role can change a password and turn on two-step verification.

All plans, including Free.

Settings has seven tabs: Account, Billing, Team, Branding, Client experience, Integrations, and Security. Owners and Admins see all seven. Members see Team and Security.

This page covers two of them. The Account tab holds your team identity and your current plan. The Security tab holds your own password and two-step verification.

Only Owners and Admins can open the Account tab. If a Member opens it from a link, Portico shows "Your role cannot open this panel." Every role can open the Security tab.

Team identity

The Team identity section has four fields. To change them:

  1. Go to Settings > Account.
  2. Edit Team name, Team URL slug, Business country, or Dashboard language.
  3. Click Save team details.

Portico shows "Saved" when the change is confirmed. If you try to leave Settings with changes that are not saved, a dialog named Unsaved changes opens. Click Keep editing to stay, or Leave settings to go.

Team name

The team name is your firm's name in Portico. It can be up to 200 characters, and it cannot be empty.

Clients see one firm name everywhere: on emails, text reminders, the onboarding form, the client portal, the registration page, and PDFs. That name is your Email sender name from the Branding tab when you set one. Without a sender name, clients see your Team name. While the team name is still the one Portico created at signup, clients see the owner's name instead, for example "Jane Smith" in place of "Jane Smith's team".

Your team sees the team name in the sidebar. Team invite emails also use it. Mail for your team, such as invites and client activity alerts, comes from Portico, not from your firm name.

Firm name check before sending

At signup, Portico names your workspace after you, for example "Jane Smith's team". Clients should never see that placeholder. So when you send, reopen, or request changes on an onboarding in the app, Portico checks the name first.

If the team name ends in "'s team" and no Email sender name is set, Portico stops the send. Nothing is sent. A field named Your firm name as clients see it appears in its place, filled in with the name from the placeholder. To finish:

  1. Enter the name your clients know.
  2. Click Save and send. The button reads Save and reopen if you were reopening an onboarding, or Save and request changes if you were requesting changes.

Portico saves the name as your Team name, then retries what you started. A name that still ends in "'s team" is refused. Only Owners and Admins can save the firm name. Send to myself for a test skips this check, because the test goes to you.

Sends through the API, Zapier, or an automation have nobody to ask, so they skip the check. Until you set a name, their emails show the owner's name, such as "Jane Smith". A firm you deliberately named with "'s team" keeps its name.

Team URL slug

The slug appears in your self-registration link, which has the form app.portico.run/r/your-slug. Use lowercase letters, numbers, and hyphens only. Portico turns capital letters into lowercase and any other character into a hyphen. Each slug is unique across Portico, so a slug another team uses cannot be saved.

If you change the slug, your self-registration link changes too, and the old link stops working. Update the link anywhere you shared it. See Self-registration.

Business country

Your business country sets your privacy framework. When the country uses one, the field shows a hint such as "Compliance framework: GDPR". Once a country is set, you can change it but not clear it.

A new country also resets the default date format and time zone for new clients to that country's values. If your consent checkboxes or retention period are empty, Portico can fill them with the country's defaults. See Compliance.

Dashboard language

The dashboard language applies to everyone on your team. It sets the language of the dashboard and of the notification emails Portico sends to your team. It is also the starting language for clients you add, and the fallback for any client with no language set.

You can also change it from the sidebar. Click your team name at the top of the sidebar, then choose Language. Only Owners and Admins can pick a language there.

Portico offers nine languages: English (US), English (UK), Español, Français, Deutsch, Português (BR), Italiano, Nederlands, and 日本語.

Current plan

Below the form, Current plan shows your plan. During the trial it reads Pro (trial) with the date the trial ends. After the trial, it reads Free with "Your Pro trial has ended." Click Compare plans to open Settings > Billing, where you can subscribe or compare plans. See Billing and plans.

Security tab

Settings > Security holds two sections: Password and Two-step verification. Both protect your own sign-in, not the team. So every role can use them, Members included.

Confirming your identity

Some changes on this tab need a recent sign-in. If you signed in more than 15 minutes ago, Portico opens Confirm your identity first. What it asks for depends on how you sign in:

  • You have a password. Enter it and click Confirm and continue. When you change your password, the field is named Current password. Elsewhere it is named Password.
  • You signed up with Google or Apple and have no password. The dialog has no password field. Click Continue with Google or Continue with Apple and sign in again. Portico brings you back to Settings, where you repeat the change.
  • You have an authenticator. Portico can also ask for a current code in Authenticator code.

With a password, you can also click Continue with your sign-in method. That opens the sign-in page, and you repeat the change after you sign in. Click Cancel to close the dialog without making the change.

Password

To change your password while you are signed in:

  1. Go to Settings > Security.
  2. Under Password, enter a New password and repeat it in Confirm password.
  3. Click Update password.
  4. If Portico opens Confirm your identity, confirm as described above.

Passwords need at least 10 characters, with both letters and numbers. A new password must differ from your current one. Settings has no field to change your sign-in email.

When the change goes through, Portico shows "Your password has changed. Your other sessions are signed out." Your other browsers and devices are signed out, and this one stays signed in. If that step fails, Portico says so. Click Sign out other sessions to retry.

Adding a password to a Google or Apple account

If you signed up with Google or Apple, you can add a password in the same form. Enter it in New password and Confirm password, then click Update password. You can then sign in with your email and that password too.

If you forgot your current password

The reset link works whether you are signed in or not:

  1. On Settings > Security, click Get a reset link by email. When you are signed out, click Forgot password? on the sign-in page.
  2. Enter your Email and click Send reset link.
  3. Open the link in the email. If the page shows Reset your password, click Set a new password.
  4. Enter a New password and repeat it in Confirm password.
  5. If you have an authenticator, enter a current code in Authenticator code.
  6. Click Update password.

After the change, Portico signs out your sessions on other browsers and devices. If that step fails, Portico says so. Click Sign out other sessions to retry, or Continue to dashboard to skip it.

Two-step verification

Two-step verification adds a code from an authenticator app to your sign-in. Every role can set it up on the Security tab, for their own account only. Each account can have one authenticator.

Set up an authenticator

  1. Go to Settings > Security and click Set up authenticator.
  2. If Portico opens Confirm your identity, confirm as described above.
  3. Add Portico to your authenticator app. Scan the QR code, or type the setup key shown below it.
  4. Enter the six-digit code from the app in Authenticator code.
  5. Click Confirm and continue.

The section then shows Authenticator enabled.

The setup dialog has these parts:

PartWhat it does
QR codeScan it with your authenticator app.
Setup keyThe same secret as text, in groups of four characters. In your app, choose to enter a key by hand and type or paste it. If the app asks, choose time-based.
Copy keyCopies the setup key without the spaces. If the copy fails, select the key in the field and copy it yourself.
Authenticator codeTakes the six-digit code your app shows after you add Portico.

Finishing an unfinished setup

If you close the dialog before you enter a code, the setup stays open. The section shows Unfinished authenticator setup, with Finish setup and Discard unfinished setup.

Click Finish setup to enter a code from the app you already added. If you have not left or reloaded the Security tab since you started, the dialog shows the same QR code and setup key again.

After you leave the tab, reload the page, or open Settings in another browser tab, Portico cannot show that setup key again. If your app has no Portico entry yet, click Get a new setup key in the dialog. It replaces the unfinished setup and shows a new QR code and setup key. Remove any earlier Portico entry from your app, then add the new one.

Discard unfinished setup removes the setup so you can begin again. Get a new setup key and Discard unfinished setup both need a recent sign-in, as described in Confirming your identity.

Signing in with an authenticator

After you sign in, Portico shows Confirm your identity and asks for a current code. Enter it and click Confirm and continue. This applies to every sign-in method, including Google and Apple.

Some actions ask you to confirm your identity again, such as removing the authenticator. With an authenticator set up, Portico can ask for a code at those points too.

Remove the authenticator

On Settings > Security, click Remove authenticator. Portico asks you to confirm your identity first if your last sign-in was more than 15 minutes ago.

If you lose your authenticator

Portico has no backup codes. Keep access to your sign-in method and your authenticator app. If you lose access, contact support@portico.run.

Signing out

Click your team name at the top of the sidebar, then click Sign out. On a small screen, tap the menu icon at the top left first. The same menu shows your email address and switches between Dark mode and Light mode. It also has Cookie preferences, where you change your cookie choice.

Portico has no screen that lists your active sessions. To end your sessions on other devices, change your password on the Security tab. See Password.

Deleting your account

Settings has no option to delete your account or your workspace, and no way to transfer ownership. Contact support@portico.run for help. To stop paying for a plan, cancel your subscription in Settings > Billing. See Billing and plans.

Frequently asked questions

What name do my clients see?
Clients see the Email sender name from the Branding tab when you set one. Otherwise they see the Team name from Settings > Account. While the team name is still the one Portico created at signup, such as Jane Smith's team, clients see the owner's name, Jane Smith. The same name appears on emails, text reminders, forms, the client portal, and PDFs.
Why does Portico ask for my firm name before I send?
Your team name still has the placeholder Portico created at signup, such as Jane Smith's team, and no Email sender name is set. Enter the name your clients know, and Portico saves it and finishes the send, reopen, or change request.
How do I change my password?
Go to Settings > Security. Enter a New password, repeat it in Confirm password, and click Update password. If you signed in more than 15 minutes ago, Portico asks you to confirm your identity first. Portico then signs out your other sessions.
What if I forgot my current password?
On Settings > Security, click Get a reset link by email. You can stay signed in. Enter your email, open the link Portico sends, and choose a new password.
Can Members turn on two-step verification?
Yes. Every role can open Settings > Security and set up an authenticator for their own account. Two-step verification protects one person's sign-in, so it does not depend on the team role.
Can I delete my account?
Settings has no option to delete an account or a workspace. Contact support@portico.run for help with closing an account. To stop paying, cancel your subscription in Settings > Billing.
